Planning & Productivity Prompts – how to use them
A planning prompt works or fails depending on the limits you give the AI. If you only say “make me a plan”, the tool knows nothing about your calendar, energy or deadlines, so it returns a generic list. Add the hours you can really work, the hard deadlines and your current load, and the plan becomes realistic.
Treat the generated plan as a draft, not a decision. After the first result, ask for small changes such as “make Tuesday lighter” or “move meetings to the morning”. Copy the plan into your calendar or to-do app yourself, because the AI cannot see your calendar or your real availability.
- Always include the time you can work; a plan without a time limit is not realistic.
- Give deadlines as dates and avoid vague words like “soon”.
- Ask for a buffer in the plan so the first delay does not break it.
- If the plan does not work, shrink the goal rather than rewriting the prompt.
Example: a weak prompt and a strong prompt
Weak prompt
Make a plan.
Strong prompt
Build my weekly plan. My tasks: prepare a presentation (6 hours), client report (4 hours), gather tax documents (2 hours). I can work at most 4 hours a day. Deadlines: report on Wednesday, presentation on Friday. Spread them across the days and leave a buffer.
Sample output generated with Claude
Monday (4 h): Report – gather data and draft (4 h)
Tuesday (4 h): Tax documents (2 h), presentation – content (2 h)
Wednesday (3 h): Send the report (draft is done); presentation – slides (3 h)
Thursday (1 h): Presentation – final fixes (1 h)
Friday: Buffer and rehearsal; presentation day
Note: the report is due Wednesday, so it goes first. The 12 hours of work fit well under your 20 weekly hours, which leaves about 8 hours as buffer.
This output is an example from running the strong prompt above with Claude. Results can differ in ChatGPT, other tools or at other times; check the output yourself before using it.
Frequently asked questions
Can AI access my calendar?
No. ChatGPT and Claude cannot see your calendar, email or task app unless you paste the information in. Give your free hours and tasks as text.
The plan is different every time, is that normal?
Yes. AI can give different answers to the same prompt. For consistent results, state the constraints clearly and save a result you like as a template.
Can I use it for long-term goals?
You can, but it works better if you first split the goal into weekly steps. The 30-day plan prompt is built for that; review the result each weekend and update the plan.
