Zapier vs n8n

Zapier

Setting up a 'Zap' in Zapier is just a three-step form: pick a trigger, pick an action, test it; even someone with no technical background can get their first automation running in 10 minutes.

n8n

Self-hosting n8n lets you run as many automations as you want with no operation limit; you can also drop in a code block to build custom logic that isn't possible in Zapier.

Which one should you choose?

If you want to set up an automation quickly without writing code, Zapier's simple interface and ready-made integrations get the job done. If you want more control and have a technical team, n8n's open-source setup and self-hosting option are both more flexible and can be cheaper long term.

What are Zapier and n8n?

Zapier is a fully cloud-based, no-code automation service. You sign up, connect your apps, and never deal with servers, updates or security. In return, you work within the platform's limits and pricing.

n8n is a node-based visual workflow tool. Its source code is public and its license is described as fair-code: you can self-host it for free, but uses like reselling it as a commercial service are restricted. There is also an official n8n cloud version if you don't want to host it.

Key differences

  • Hosting: Zapier runs only in its cloud. n8n can run on your own server, with Docker, or inside a company network.
  • Data privacy: a self-hosted n8n can process data without it leaving your infrastructure, which matters for organizations handling sensitive information.
  • Flexibility: n8n lets you drop in JavaScript or Python code nodes and call services directly even when no ready-made integration exists.
  • Responsibility: self-hosting means updates, backups, security and uptime monitoring are on you. With Zapier you never think about them.

Who should pick which?

Someone in marketing or operations who wants to automate without help from engineers is better off with Zapier. Templates and broad app support get you to a working result by the shortest route.

An engineering team building flows that process lots of records, connect to internal databases or chain calls to AI models will find more room in n8n. As the number and volume of flows grow, the cost advantage of self-hosting becomes clearer.

Before you switch

  • There is no official tool to import Zapier flows into n8n. Plan to rebuild and test each one.
  • If you self-host, set up strong authentication and HTTPS before exposing the n8n editor to the internet.
  • n8n stores credentials encrypted. If you don't back up the encryption key, you can lose access to them when moving servers.

Bottom line

Pick Zapier if you have no technical team and want automations running today. Pick n8n if you are technical, want data to stay on your own infrastructure, or are building high-volume flows with custom logic. Over time it can be both more flexible and cheaper.
