Notion vs Google Docs

Notion

In Notion, a single page can be a document, a database, and a task list all at once; you can link a project wiki, a content calendar, or a lightweight CRM together in one connected workspace.

Google Docs

With Google Docs, it's obvious what to do the moment you open it: write, share, edit together. Comments, version history, and real-time co-editing are features that have matured over years and just work.

Which one should you choose?

If you just need to write and share a document quickly, Google Docs' simplicity is enough. If you want to combine notes, project tracking, and documentation in one place, Notion's flexible building blocks offer a lot more, though it takes some time to learn.

What are Notion and Google Docs?

Google Docs is the online word processor in Google Workspace. It gives you a Word-like page layout, headings, tables and print-ready output. Share a link and several people can edit the same document at once.

Notion calls itself a workspace. Everything is built from blocks: text, to-do lists, databases shown as tables, calendars, boards. You nest pages and link them together to build your own system.

Key differences

  • Documents versus a system: Google Docs produces individual files you organize in Drive folders. In Notion, documents, tasks and records are parts of one structure.
  • Formatting and export: if you need margins, headers, page numbers and clean export to Word or PDF, Google Docs is much stronger.
  • Structured data: Notion databases let you filter, sort and switch between table, board and calendar views. Docs has nothing like it.
  • Learning curve: anyone can use Docs on day one. Building a good Notion setup takes some trial and error.

Who should pick which?

If you are writing things that end up as formal documents, like proposals, contract drafts, assignments or reports, Google Docs is the right tool. It also makes quick collaboration with clients or anyone with a Google account painless.

If you manage connected information, such as a product team wiki, a project space where meeting notes link to tasks, or a content calendar, Notion does far more. Many people also use it personally for habit trackers or reading lists.

Before you switch

  • Notion can import Google Docs files, but complex tables and custom formatting may break. Check important documents one by one.
  • Leaving Notion, you can export pages as Markdown, HTML or PDF. Databases become CSV files and the links between them are lost.
  • Sketch your structure before migrating. Copying an old folder tree straight into Notion means missing the point of using it.

Bottom line

Choose Google Docs for well-formatted documents you write and share. Choose Notion if you want notes, tasks and documentation in one linked system and can spend some time setting it up. Plenty of teams use both: formal documents in Docs, internal knowledge in Notion.
