How Long Should You Keep Invoices and Receipts? A Practical Digital Archive
Receipts piling up in a drawer, e-invoices lost in email, a warranty card nobody can find... Keeping records is a job nobody thinks about until the moment they need a document. This post offers a general framework for what to keep and for how long, plus a practical way to keep a digital archive tidy.
For freelancers and businesses
Record-keeping periods are set by tax and company law and differ from country to country. In Turkey, for example, the Tax Procedure Law requires books and documents to be kept for five years from the start of the year after the one they relate to, while the Commercial Code sets a ten-year period for merchants' commercial books and records. Many other countries use periods of a similar order. Check the exact rules that apply to you with an accountant or your tax authority; this post is general information, not legal or tax advice.
For personal use
- Warranties and invoices: Keep them for the warranty period and ideally for as long as you use the product. The invoice is the first thing asked for during a return or repair.
- Large purchases: Invoices for furniture, electronics or a car help with insurance claims and resale.
- Rent and bill payments: Keep payment confirmations handy in case of a dispute.
Thermal receipts fade
The thermal paper receipts shops hand out become unreadable over time, especially somewhere warm or sunny. If you need to keep one, take a photo or scan it. Shoot it flat, without shadows, so the figures stay legible.
A simple digital archive
- Create year folders: 2026, 2027 and so on.
- Add category folders inside: Invoices, Warranties, Rent, Tax.
- Save files with names that start with the date:
2026-10-14-fridge-invoice.pdf. With the date first, files sort themselves. - Set aside 15 minutes a month: move invoices from email and receipt photos from your phone into the folders.
- Back it up: keep a copy of the archive somewhere else, such as a cloud service or an external drive.
To keep several documents for the same purchase in one file, use the PDF merge tool, so that, for example, a device's invoice and warranty sit in a single PDF.
Frequently asked questions
How long should I keep a warranty?
At least for the length of the warranty. Keeping the invoice together with the warranty makes a repair or replacement claim much easier. Statutory rights differ by country, so check what applies where you live.
Can I photograph a paper invoice and throw the original away?
For a personal archive, a photo is usually enough. For a business, a scan of a paper document may not satisfy legal record-keeping rules, so do not throw away originals of business documents without checking with your accountant.
Do the same periods apply to electronic invoices?
Retention periods depend on what the document is, not on whether it is paper or digital, and electronic invoices are kept in electronic form. Rather than leaving them in your inbox, download them as PDFs into your archive folder.
